Photo Rejected on an Online Application: How to Fix It

Read the rejection message, then go through the causes below. Paste the form’s photo rules into the tool and the checks confirm each one against the final file.

2Choose a photo and position it

No ID photo needed: a phone selfie or any ordinary photo works. It centers on your face, crops to the required size and changes the background.

When taking it: stand in front of a plain light wall with even light and no shadows; hold the phone at eye level about an arm’s length away and include your shoulders; face the camera with ears and eyebrows visible, no hat. JPG, PNG, WebP or iPhone HEIC.

3Create and check

Most common causes

  1. Wrong pixels or file size: the most frequent. Enter the exact width, height and KB range — many forms also have a minimum KB.
  2. Wrong format: iPhone HEIC or PNG must be converted to a real JPG; renaming isn’t enough.
  3. Framing: leave a little space above the head, keep the chin off the bottom edge, face centered and both ears visible. The checks flag faces that are too large, too small or off-center.
  4. Background: use the color the form asks for, with no shadows.
  5. Edited or low-quality photos: heavy filters, beauty modes or photos of printed photos often fail face matching.
  6. A required official tool: some forms make you run the photo through their own tool last. Upload the file that tool saves, without re-saving it.

My photo passed the site’s own photo tool but still won’t upload.

Usually the file was re-saved or compressed afterwards (for example by a phone gallery or messaging app). Upload the exact file the tool saved.

Can I wear glasses?

Many passport and visa forms now ban glasses. Check the form’s rules.
